We are seeking a proactive, creative, enthusiastic and highly organized individual to provide comprehensive event management support to assist our organization in hosting events aligned with our strategy and culture. This role will report up to the Head of Events and Food Services within the Workplace Services (“WPS”) department. 

The Event Manager will be tasked with researching and securing venues, planning and managing our events’ calendar, negotiating quotes and agreements with vendors, assisting with event marketing, monitoring timeframes and budgets, networking and delivering on event brief objectives.  Your creativity, organization skills and vision will assist our organization in amplifying brand visibility, enhancing client and employee relations, and improve our organizations growth through events that effectively communicate business strategy and brand personality.

You will take on the following responsibilities: 

  • Brainstorming and implementing event plans and concepts
  • Handling budget and invoicing per event
  • Liaising and negotiating with vendors, and coordination with vendors for meeting and event related setups ie. caterers, party supply, furniture rental and movers
  • Handling all aspects of pre-event and onsite logistics
  • Concise communication with event host, senior management
  • Collaborate with MarCom on event branding and communication
  • Develop event feedback surveys
  • Managing post-event reconciliations and data reports
  • Attend daily WPS cross-team organizational meeting to review daily schedule
  • Partner with Facilities and Event Tech Support teams, as needed, to ensure delivery of all meeting requirements, ie. room layouts, A/V, additional FFE

You should possess the following qualifications:

  • 5-8 years of event management experience
  • Bachelor’s degree, ideally in Public Relations, Communications, Hospitality or similar
  • Strong project management experience
  • Excellent attention to detail and multi-tasking skills
  • Flexible, outside of the box thinker
  • Customer focused; understanding the concept of the “internal customer” is paramount
  • Ability to understand requirements that are both tactical and strategic
  • Possess strong leadership, communication and interpersonal skills
  • Highly organized, excellent time-management, adept at managing different priorities
  • Collaborative team player
  • Creative with an eye for design a plus
  • Proficiency in MS Office Suite and various event software necessary for the execution of the responsibilities listed above
