The Dining Services Coordinator is responsible for coordination and administrative execution of all internal catered meeting requests and, will also provide support to the Events and Conference Administrator, as needed, in the planning and execution of internal and external events and conferences. The Dining Services Coordinator can expect to work closely with the Events Services Manager to ensure service level expectations are achieved consistently. 

Key Responsibilities

Administrative Responsibilities / Request Fulfillment:
  • Lead daily WPS cross-team organizational meeting, review daily schedule of meetings/events
  • Consult with internal clients, as needed, to discuss special requests/requirements
  • Partner with food service provider to regularly update/refresh menu options
  • Ensure proper room setup prior to each meeting
  • Assist in handling and setup of food service, as needed
  • Partner with Office Services/Conference room Management team to secure room reservations
  • Create and revise room layouts as needed
  • Process requests via JIRA system; provide updates, respond to inquires
  • Process catering orders
  • Data entry-update dining service related spreadsheets, information material
  • Distribution of periodic survey to solicit employee feedback
  • Provide support / back-up for Events/Conference Administrator as needed 
Support to Event and Conference Administrator:

  • The Dining Services Coordinator will be required to assist the Event and Conference Administrator in the following areas, including but not limited to:
    • Research and obtaining resources to help make decision about event possibilities 
    • Information gathering for given project to achieve quality event production
    • Coordination and/or oversight of internal and external events
    • Preparation of event materials, including: name tags, materials, packages, gift bags, registration lists, seating cards, etc.
    • Ordering event related supplies and favors
  • Educated to undergraduate degree level is preferred
  • Between 5-7 years experience within either a demanding corporate office environment or a hospitality/service related industry 
  • Comprehensive understanding of essential elements as they relate to this specific job, in order to deliver consistent high level of service to which firm is accustomed 
  • Extremely customer focused, understanding the concept of the "internal customer" is paramount 
  • Ability to understand requirements that are both tactical and strategic
  • Adept at managing differing priorities
  • Capable of working in a demanding environment, under pressure and still achieving the desired results
  • Excellent communicator both orally and in writing
  • Working knowledge of MS Office Suite, and any other applicable software applications necessary for the execution of duties and responsibilities listed above
