About the Position

Two Sigma is seeking a full-time Team Operations Coordinator to support the Two Sigma Family Office and the Family Office Team.

Responsibilities 

Head of Family Office Support

  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying text and data for internal and external meetings
  • Conserve time by: reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications as needed
  • Prepare materials, such as PowerPoint presentations and Excel spreadsheets
  • Maintain appointment schedule by planning and scheduling meetings proactively and reactively, conferences, and travel
  • Welcome guests and customers by greeting them, in person or on the phone; answers/directs inquiries as appropriate
  • Ensure payments and/or reimbursements are processed effectively, as related to travel or other expenses
  • Maintain partnerships and relationships by supporting operations and keeping necessary information confidential
  • Complete projects by assigning work to necessary parties; follows up on results and deadlines as needed. Projects can include projects directly supporting the Head of the Family Office as well as the Family Office team
  • Conduct research and associated briefings / context ahead of meetings
  • Maintain the master Family Office project list
  • Manage IT requests

·        Design and support an efficient and effective file and knowledge management system for increased efficiency and effectiveness

Team Operations and Events: Internal and External

  • Organize and establish meetings on a regular basis with designated individuals to foster positive relationships and understand opportunities for internal cross-connections
  • Coordinate internal and external event logistics, timelines, and schedules
  • Run Family Office related errands on occasion in and out of the office
  • Design and support an efficient and effective file and knowledge management system for increased efficiency and effectiveness for the Family Office shared files

Project Management: Special Projects

  • Work on projects involving research and analysis for the families and the broader Family Office team
    • Lead and manage cross-functional projects
    • Define project requirements
  • Effectively identify problems as they arise, creatively determine solutions to address, identify next steps and communicate with key stakeholders
  • Anticipate project challenges/risks, and mitigate with proactive solutions
  • Identify key interdependencies across projects within and across the team

Required Experience/Attributes

The Team Operations Coordinator will need to develop a high degree of awareness of the needs of the families and the Family Office team as well as the needs of the foundations and charities that we support.

  • Minimum of Bachelor's level degree, two years of related experience preferred
  • Experience in operations, logistics, and/or systems orientation
  • Experience in event planning and/or project management
  • Working knowledge of computers and the operation of standard office machines and software (Microsoft Office Suite Word, Excel, PowerPoint, QuickBooks (preferred but not required, etc.)
  • Excellent verbal and written communication skills
  • Excellent critical thinking and organization skills, attention to detail and accuracy, and ability to move quickly from one task to another
  • Ability to be flexible and handle multiple tasks, with a priority on meeting deadlines
  • Demonstrate innovation, initiative, and the ability to work independently when needed
  • Proactively anticipate needs of the families and the Family Office
  • Familiarity with a fast-paced, entrepreneurial environment
  • Ability to work independently
  • Comfortable making appropriate decisions and escalating issues
  • Display sensitivity and responsiveness to confidential information
  • Possess “colleagues-as-customer” mindset; understand that the Head of the Family Office and the Family Office team are the primary beneficiaries of the Team Operations Coordinator’s output
  • Possess “whatever-it-takes” attitude; develop creative and effective solutions for difficult, unique, or unexpected issues
